This 113-year-old, non-profit organization has an annual operating budget of over $70 million dollars and generates revenue through four activity streams: the 15 day annual summer Fair and winter Fair which average more than 700,000 people annually, Playland amusement park which welcomes 400,000 guests annually including Fright Nights, and a busy year-round portfolio of events including concerts, trade shows and film, cultural and community events. In total we bring over 2 million people through the site each year. The fourth activity stream is park care and facility maintenance. We are seeking an organized and hardworking individual that has a passion for Administration, the Events and Facilities Maintenance industry, and the Pacific National Exhibition. The Office Administrator will work under the direction of the Director of Facilities & Maintenance as well as the Facilities & Maintenance Managers and provide support to the Facilities & Maintenance team by performing reception and administrative duties in varying capacities.

They will work in compliance with all health and safety requirements as determined by WorkSafeBC, and all other applicable legislation and company policies.

What will you do this year?
In your role as an Office Administrator, your primary accountabilities will include:
  • Producing and maintaining work orders within the PNE’s ERP system.
  • Working within Ungerboeck Event Management Software for all event activities.
  • Work within CMMS for all Maintenance activities.
  • Maintain detailed files of projects, reports, correspondence, and a variety of reference materials.
  • Answer telephone inquiries, greet customers and redirect callers to appropriate areas.
  • Type correspondence and reports.
  • Operate office equipment: i.e. computer, fax machine, photocopier, etc.
  • Complete timesheets.
  • Assist with various tasks in preparing for Year-Round Events, Summer & Winter Fair, including but not limited to: recruitment & daily administration operations.
  • Maintain a safe and clean working environment.
  • Perform other related duties as assigned.

What else?
  • Must have successful completion of Grade 12 or an equivalent combination of education and experience.
  • Must have proficient skills and working knowledge of computer applications including but not limited to MS Word, Excel, Outlook, and other computerized reporting programs; with minimum typing speed of 60 words per minute.
  • Must have a minimum of 2 years’ experience working in a clerical position; some supervisory experience preferred.
  • Must possess an understanding of Maintenance payroll timesheets, work orders, invoicing, and budgets.
  • Must be capable of reading, writing and speaking English for the purposes of written or oral instructions, timesheets and documentation of work.
  • Must have excellent time management skills, strong organizational skills and ability to work under pressure.
  • Must have great communication skills and the ability to assist internal and external clients over the phone and in-person.
  • Ability to function with minimal supervision in a shop environment.
  • Candidates must undergo a Criminal Record Check.
